2. Minutes of the 2009 AGM were accepted as a true record of that meeting. Proposed by Sue Whitty, Seconded by Graham Horley.

3. Matters raised from the minutes: None

4. Chairwoman’s report: A copy of the report is attached separately.

5. Treasurer’s report: A copy of the report is attached separately. Tim Shelton was formally thanked for undertaking the audit. The report was accepted by the meeting. Proposed by Phil Nash, Seconded by Michael Heeley

6. Report on court extension and resurfacing: Mike had covered the financial aspect of this in the treasurer’s report. Roger explained the process that the committee had gone through to resurface the courts and upgrade them to meet LTA specifications as per Lee West’s report. The committee obtained 4 quotes. Richard Reynolds helped to cut down leylandii, saving much money. Colourworks used the club to trial a new material to clean the courts so this was free, again making a big saving for the club. The Biffa grant secured by the committee enabled the extension to the length and width. Trevor May had most competitive quote and good references so he was chosen. Final inspection of work was carried out by Roger on 15.11.10 and colour application will take place in the spring but courts are ready for use over winter with painted lines. Roger also forwarded to committee Trevor May’s maintenance guidelines which committee will study. Committee also to consider over time whether anything needs to be put in place to prevent balls going in ditch.

7. Future of the club: There was a general discussion on possible ways to improve involvement of members in the club and to increase membership. These included the following points:
Better advertisement of the fact that the courts are for hire and looking at ways to make sure we get payments of hire fees including possible follow up of bookings to tally with monies received.
New members could have 3 free trials before they join
If you introduce a new member you get £5 off your own fees
Liaison with Cricket club – they have a good pool of juniors.
Committee club member could perhaps be keyholder for CC keys so that toilet facilities can be used. It was pointed out that the CC is not a private club but also linked to PC
Meeting felt it was important to get courts used more and maybe instate a ladder which could be accessed on website.
Look at corporate sponsorship to aid with future finance.
Finding a new coach as Michelle Collins has left, contact Chris Ornstein and coach recommended by Michelle.
Letting local schools have access to courts each week, also a possible link here with the coach
Getting news from the club in the paper regularly.


6. Election of the Executive Committee: Sue Whitty, Ann Lines, Mike Coombs and Peter Ballard were all happy to continue in their roles of Chair, Secretary, Treasurer and Membership Secretary. Proposed by Phil Nash, Seconded by Sarah Malzer
Roger Jowett resigned from committee but offered to oversee the colour coating of courts in spring. He was given a formal vote of thanks for all his work by Sue Whitty on behalf of the club.
Bruce Wilkinson resigned from committee as no longer able to drive. Graham Horley volunteered to take his place as a representative of the seniors.
Rosie Browning agreed to join committee proposed by Peter Ballard and seconded by Ann Lines
Michael Heeley agreed to join committee proposed by Sue Whitty and seconded by Ann Lines

A.O.B.:
Sue suggested an American Tournament on Sunday 21 November at 1.30 to christen new courts. This was agreed
Ann informed meeting that LTA have proposed that clubs get permission from members to sign them up to British Tennis. This will mean the membership form will have to be changed for next year. Meeting agreed this was a good idea.
Nick asked if meeting felt that club could sustain both tennis ladder and tournament to run at same time. General consensus was that club should try this.
It was agreed that club sessions should remain as they are for the coming year.
Phil asked if there would be a possibility of a practice wall. Roger explained that committee had received this suggestion at too late a stage for it to be incorporated in current works but that a quote for this had been sought.
Rosie suggested that in future it would be good to present trophies at AGM or to hold a Christmas social where they could be presented.
