1. Apologies: Joanne Coombs, Michael Healy, Margaret Bailey, James Burden
2. Minutes of the 2007 AGM were accepted as a true record of that meeting. Proposed by Elaine Jowett, Seconded by Roger Jowett.
Matters raised from the minutes : Lottery Grant: Roger Jowett had made enquiries into this – it does not cover resurfacing courts, however from April 09 position may change. Interactive Notice board: This was tried but caused more problems than it solved so was abandoned.
3. Chairwoman’s report: A copy of the report is attached separately.
4. Treasurer’s report: A copy of the report is attached separately. Jon Whitty was formally thanked for undertaking the audit. Matters raised: Tim Shelton pointed out a presentaitional error that Mike rectified.
The report was accepted by the meeting. Proposed by Sue Whitty, Seconded by Ann Lines.
5. General Issues:
Condition of Courts: Repairs have been undertaken. Still some holes but company reckon they are too small to fill in successfully .Sue asked for members to inspect courts and feed back their opinions so that she can get back to the company.
Format of Club sessions: Two sessions do not seem to be working, very few members attending so suggested running just one session per week next summer in addition to the weekend session.
British Tennis: Mike suggested asking for a British Tennis representative to come to a committee meeting to give advice- Ann to contact. Increased junior participation in events to be actively encouraged.
Winter Tournament: Decided to run a couple of American tournaments in winter instead of a league. These to be held on Saturday afternoons, one during Xmas/New Year and one Feb/March.
Working Party: Sunday 14 December 10am- seasonal refreshments to be provided. Nick, Mike, Bruce, Roger, Tim and Jon volunteered.
6. Election of the Executive Committee: Sue Whitty, Ann Lines, Mike Coombs and Peter Ballard were all happy to continue in their roles of Chair, Secretary, Treasurer and Membership Secretary. Nick Trout volunteered to take role of Tournament Secretary. Margaret Bailey has volunteered to join committee.
7. A.O.B.:
Website: old site hadn’t been paid for 3 years. We owe £135, when this is paid site will be transferred for Peter to manage. Agreed fee should be paid.
Margaret Bailey asked if it would be possible for members to have access to membership list in order for easier contact between members. It was agreed to add a consent box to the membership form for next year.
Membership fees: to be kept at current rates.
Meeting closed at 10pm
